🗂️ Board
Your working view of every task, split into Digital and Offline lanes.
- Stages: Idea stage → Not started → In progress → Completed. Drag a card between columns to change its stage.
- Digital vs Offline: two separate lanes so digital marketing (ads, social, email, web) and offline marketing (events, print, sponsorships) are never mixed together in reporting.
- Adding a task: use "+ Digital task" or "+ Offline task" at the top of the Board. Fill in expected completion date, expected hours, notes, subtasks and a Drive link — all editable any time by clicking the card.
- Subtasks: break a task into checkable steps. Tick them off directly on the card, or edit/reorder them (▲▼) inside the task modal. A task cannot be dragged to Completed while it has unticked subtasks — this keeps "done" meaning done.
- Completing a task: once every subtask is ticked and the card is dropped into Completed, you'll get a short balloon celebration. It only fires once per task.
- Overdue icon: a red warning triangle appears on any card (and table row elsewhere) whose expected completion date has passed while it's still not Completed — a quick visual flag for what's slipping.
- Tagging teammates: tag anyone in your own agency from the modal, optionally with a short message. Their initials show as chips on the card, and they get a notification (🔔 bell, top right) linking straight to the task. Untick a name to remove the tag — no notification is sent for that.
- The 🔔 bell: shows a red count badge whenever you have something to look at — either a tag mention, or one of your own tasks that's now overdue. Click it to see both in one list; clicking any entry opens that task directly.
- Tag history: every tag message is kept permanently on the task, not just sent as a one-off notification. Open any tagged task and you'll find a "Tag history" section showing who tagged whom, when, and what they said — nothing gets lost once a notification is dismissed.
- Search: the search bar above the board filters cards live by title, notes, subtask text, tagged people, labels, or who created the task.
- Labels: create your own colour-coded labels from inside any task (Labels field → pick a colour → name it → Add) to organize and segment work however makes sense for your team — by campaign, client, priority, whatever. Click a label chip above the board to filter to just that label; click it again to clear the filter.
- Drive link: attach a Google Drive folder or document URL to a task; it shows as a 🔗 chip you can click straight from the card.
📋 Activities
A log of everything happening in a chosen time window, measured against your hour targets.
- What it measures: every task whose "activity date" falls inside the period you've selected (day / week / month / quarter / year), regardless of what stage it's in.
- Why activity date, not expected date: the expected completion date is when a task is due; the activity date is when the work actually happened (or is planned to). It's what analytics and reporting bucket time by, and you can backdate it if you're logging work after the fact.
- Hour targets: fixed reference points — 8h/day, 40h/week, 160h/month, 480h/quarter, 1,920h/year — so you can see whether logged time is tracking against a full working schedule.
- Expected vs Actual: compares the sum of each task's own "Expected time" field against what was actually logged in the period, so you can see if work is taking more or less time than planned — separate from the fixed hour targets above.
- The table: every activity in the period with its type, stage, expected date, expected time, time used, who's tagged, and notes — this is the raw data behind every chart in Analytics.
- Who sees what: a regular agent only ever sees their own tasks here, in Analytics, and in the Dashboard. Admins see everyone in their agency by default, with a filter to narrow down to one agent. Superadmin sees the whole platform, with filters for both agency and agent.
📊 Analytics
Where the time in the selected period actually went, broken down several ways.
- Expected / Actual / % cards: the same Expected vs Actual comparison as Activities, but scoped to whatever period you're viewing here.
- Digital vs Offline split (pie): share of logged hours by channel — tells you if effort matches your intended channel mix.
- Time by task: which individual tasks are consuming the most hours, as a % of total logged time — useful for spotting where effort is concentrated, planned or not.
- Planned vs ad-hoc split (pie): how much time went to work that was on the original plan versus tasks added on the fly. A high ad-hoc share usually means the plan needs to flex more, or scope is creeping.
- Time by stage: hours sitting in Idea / Not started / In progress / Completed — a lot of time logged against "Idea stage" or "Not started" can flag tasks that are stalling.
- "Time logged vs Expected" bar chart: one bar per day/week/month/quarter/year showing logged hours as a % of that period's expected hours, with a dashed 100% line. Green = met or exceeded expectation, teal = close, orange = well under — read it left to right to see whether you're trending up or down over time.
📈 Dashboard & Reports
A management-ready snapshot of the selected period, exportable as-is.
- Report details: your agency name, your name, domain and email. Email is required — it's what identifies who prepared the report. These are saved locally to your browser, not shared with the team.
- Stat cards: total logged time vs the fixed hour target, separate Digital and Offline cards (matching Activities), Expected vs Actual %, and completed task count for the period.
- Pie + trend charts: the same Digital/Offline pie as Analytics, alongside a period-over-period line chart (day-over-day, week-over-week, etc. depending on your filter) so you can see whether logged hours are climbing or falling versus target.
- Excel export: a workbook with four sheets — Summary, Activities (full task list), Analytics (channel split, planned/ad-hoc, by stage, by task), and Trend (period-by-period numbers).
- PDF export: a printable summary — key metrics, time by stage, and period trend — with page numbers and a footer reading "Analytics report prepared by [you] with SalesHunter AI for [agency]", plus your email and domain. If your agency has uploaded a logo (Admin → Agency profile), the PDF's title and running header use your agency's own name and logo instead of SalesHunter AI's — ready to send to management as-is.
🛠️ Admin
Visible only to users with the "Manage users" permission.
- Creating users: "+ New user" adds someone with a name, username, password, role, and permission toggles. New users default to restricted access — they can only edit their own tasks unless you grant more.
- Permissions: "Edit all tasks" (vs only their own), "View analytics", "Export reports", "Manage users" (create/remove teammates), and "Change passwords" (reset a teammate's password). Admins always have full access within their own agency regardless of these toggles.
- Last login: shows each user's most recent login date/time, approximate city/country and IP, picked up automatically from their browser. This is IP-based and approximate — not GPS-accurate — and can occasionally show "Unavailable" if the lookup fails.
- Team Cloud sync: an optional backup to your own Firebase Realtime Database. Paste your database URL (and a token if your rules require one) and hit 🔗 Ensure connected & sync now — it saves the connection for the whole team and pushes the current board immediately. From then on, every logged-in user's browser automatically pushes to that URL every ~9 seconds, so the cloud copy never falls behind. The ☁️ pill in the top bar shows whether it's connected right now. Push/Pull stay available for a manual one-off backup or restore.
- Staying connected between visits: the Firebase URL, your login, and everything else is saved to this browser automatically, so you shouldn't need to re-enter it each time you open the app — even if it's downloaded and embedded outside Claude (e.g. in WordPress).
🔐 Accounts, agencies & branding
How logging in works, and how each agency gets its own look.
- Superadmin: the platform owner account — username superadmin, default password Admin2026! (change this immediately from Admin → Password). Superadmin can see every agency, create new agencies, and change any password on the platform — including their own.
- Agencies: when superadmin creates a new user and names an agency, that user becomes the first admin of their own agency. From then on, that agency's admins can create their own agents and admins — everything stays scoped to that agency, and no agency can see another's tasks or users.
- Logging in: everyone needs a username and password to get in — set by whoever created their account. There's no more open "switch user" dropdown.
- Team Cloud on the login screen: a new device or browser can load the shared users and tasks by pasting the same Firebase Database URL (and token, if required) your admin used in Admin → Team Cloud sync — tap "Connect & Load Users" first, then log in normally.
- Who can change passwords: superadmin can change anyone's. An agency admin can change passwords for anyone in their own agency. A regular agent can only change their own — unless their admin turns on the "Change passwords" permission for them. Nobody outside superadmin can touch the superadmin password.
- Agency branding: from Admin → Agency profile, any admin can upload their agency's logo and set its name, domain, address, phone and email. Once saved, everyone in that agency sees their own logo and name in the top bar instead of the SalesHunter AI branding — the login screen itself stays neutral since it's shared by every agency.
- Superadmin oversight: superadmin's Admin tab shows an "All agencies" table with every registered agency's user count, task count, completed tasks, hours logged (split Digital/Offline), and last activity/login date — a platform-wide usage view. The "History" button on any user (visible to superadmin, and to agency admins for their own team) shows their full login history, not just the most recent one.
🕓 Backups
Every save is snapshotted automatically — go back to any point in the last 3 days.
- Automatic: no need to manually save — every task, subtask, user, or agency change creates a snapshot the moment it's saved, tagged with who made the change and what happened.
- 3-day rolling window: backups older than 3 days are deleted automatically the next time anyone opens the app — there's nothing to manage.
- Anyone can restore: the Backups tab is only visible to admins and the superadmin. Find the snapshot you want and hit Restore — it replaces the current tasks and users for everyone on the shared board — not just your agency — so use it when something's clearly gone wrong, not for routine undos.
- Restoring is safe to try: restoring itself creates a new backup first, so if you restore to the wrong point you can always restore again to undo it.
- Staying in sync: the app quietly checks for changes from other users every 45 seconds and refreshes what's on screen — it pauses while you have a task, user, or password window open so it never interrupts something you're mid-editing.
💡 Good to know
A few cross-cutting rules worth remembering.
- All tasks and users live on a shared board — everyone using this link sees and edits the same data.
- You can only drag a task into Completed once every subtask on it is ticked off.
- The expected completion date drives the overdue icon; the activity date drives which period a task's hours are counted in.
- If a chip, button or tab is missing for someone, it's almost always a permissions setting — check Admin.
